    ONMOTIO Design Ltd ("we", "us", or "our"), a company registered in England and Wales under number 15843447, with its registered office at 128 City Road, London EC1V 2NX, United Kingdom, is the controller of the personal data described in this policy and is committed to protecting it. This Privacy Policy explains how we collect, use, store, and share your information when you visit our website or engage with our services.

    2. Information We Collect

    We may collect the following types of personal data:

    • Contact information: name, email address, phone number
    • Project details: information you share through our contact form or during consultations
    • Technical data: our host processes your IP address and browser details to serve the pages and keep them secure
    • Visit data: the pages you view and how you use them, measured by our own visit count and by Microsoft Clarity, as our Cookie Policy describes. Our visit count does not keep your IP address or your browser details
    • Where your visit came from: the page or advertisement whose link brought you here, and the campaign details it carried, kept with your message if you write to us and with your booking if you book a call
    • Bookings: when you book a call, Calendly takes your name, your email address and the time you choose, and passes them to us
    • Communication records: emails, messages, and other correspondence

    3. How We Use Your Information

    We use your personal data to:

    • Respond to enquiries and provide requested services
    • Manage ongoing client relationships and projects
    • Improve our website, services, and user experience, and know which of our pages and campaigns lead to enquiries
    • Send relevant updates about our services, with your consent
    • Comply with legal obligations

    When your message reaches us, we send an automatic acknowledgement, and then a person reads it and replies. We use AI tools, including Claude from Anthropic, to summarise and organise what you send so that we can answer it well. They make no decision about you that has a legal or similarly significant effect.

    4. Legal Basis for Processing (GDPR)

    Under the UK General Data Protection Regulation (UK GDPR), we process your data based on:

    • Consent: when you submit a form or subscribe to communications
    • Contractual necessity: when processing is required to deliver our services
    • Legitimate interest: to keep the website secure and working, to answer the people who write to us, to measure how our pages are used and improve what we offer
    • Legal obligation: when required by applicable law

    5. Who Receives Your Data

    We do not sell your personal data and we do not share it for advertising. Your data is handled by the following providers, who work for us:

    • Lovable (Lovable Labs Incorporated) builds and operates this website and provisions and administers its backend on our behalf.
    • Supabase (Supabase Inc.) provides the database that stores contact form submissions and runs the function that receives them. It is hosted on Amazon Web Services infrastructure in Tokyo, Japan. Supabase also hosts the system in which we manage enquiries, our visit count and the projects that follow.
    • Cloudflare (Cloudflare, Inc.) serves this website. It processes connection data such as your IP address in order to deliver the pages and to protect the site, and does not store it for us.
    • Microsoft (Microsoft Corporation), for Microsoft Clarity. Microsoft may also use the data Clarity collects to provide and improve its own services, under its own privacy statement.
    • Calendly (Calendly LLC), for booking calls.
    • Google (Google LLC), for our email.
    • Anthropic (Anthropic, PBC), whose AI models help us summarise and organise enquiries.
    • Quo (OpenPhone Technologies, Inc.), for phone calls and text messages, if you give us your number.

    We may also disclose personal data where we are required to do so by law.

    6. International Transfers

    The providers above operate outside the United Kingdom, several of them in the United States, and the database that holds contact form submissions is physically located in Tokyo, Japan. Where personal data is transferred outside the UK, we rely on a safeguard that UK law recognises, such as the UK Extension to the EU-US Data Privacy Framework for certified companies, the UK International Data Transfer Agreement, or the UK International Data Transfer Addendum to the European Commission's Standard Contractual Clauses.

    Our fonts and stylesheets are served by our host. The only third-party scripts on this website are Microsoft Clarity's, and Calendly's when you open the booking panel.

    7. Data Retention

    We retain personal data only for as long as necessary to fulfil the purposes described in this policy, or as required by law. Contact form submissions are retained for up to 24 months unless an ongoing relationship exists. Our visit count keeps page views for as long as they help us compare periods; data collected by Clarity is kept for the periods Microsoft sets.

    8. Your Rights

    Under the UK GDPR, you have the right to:

    • Access the personal data we hold about you
    • Request correction of inaccurate data
    • Request deletion of your data
    • Object to or restrict processing
    • Request data portability
    • Withdraw consent at any time

You also have the right to lodge a complaint with the supervisory authority for data protection in the United Kingdom.

    9. Cookies

    This website places no advertising tags. Microsoft Clarity sets cookies on this website, and Microsoft sets its own on its domains. For visitors in the United Kingdom, the European Economic Area and Switzerland, and for browsers that send Global Privacy Control, Clarity runs in a restricted mode that sets no cookie on this website. Our own visit count sets none. Our Cookie Policy explains this in full, including the strictly necessary storage used in the signed-in client area.

    10. Security

    We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. However, no method of transmission over the internet is completely secure.

    11. Changes to This Policy

    We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. We encourage you to review this page periodically.
